PA Support Officer

Vacancy Overview

 

To provide project support to Institutional Contracts & Development and Nuclear Development Business Unit, working closely with the Exec PA to the Nuclear Development Director. This is a demanding post requiring excellent communication and organisational skills combined with pro-active approach to the diverse workload.

The role requires a high level of tact and integrity due to the sensitive nature and frequency of senior level external contacts and regular exposure to confidential commercial data.

The position also requires mutual Exec PA cover in order to manage annual leave and short term absences.

Nature and Scope

Principal Accountabilities

       Works with the PAs for the ND MD and Nuclear Development Director and HPC Visitor Coordination Team with complex site visits and coordination.

·       Organising meetings with BEIS and other government stakeholders

·       Provides Exec PA for cover annual leave and short-term absences, working as an integral part of a team contributing to team success, communications and a positive working environment

        Manage documentation uploads and data entry, coordinating the capture of all documentation across ND and ensuring complete and accurate records are held

  •  Support general administrative duties as they arise; including]
  • Maintain and Build relationships with key contacts and stakeholders
  • Maintain confidentiality of all commercial and personal information
  • Maintain data/records so that information is readily available and easily accessible
  • Provide/organise office services such as reprographics, binding, etc
  • Arrange meetings and co-ordinate the booking of rooms, arrange travel, accommodation, pool/hire vehicles and hospitality as required
  • Administer the ordering and payment of goods and services utilising the recognised system eg  SAP Purchase Orders
  • Liaise with Finance to ensure invoices paid etc and maintain (local) cost record
  • Keep in touch with the team members when they are out of the office and report issues/ take actions for response
  • Respond to phone/email enquiries to/ from wide range of external parties etc
  • Prepare presentations, ensuring powerpoints and reports are well presented with attention to detail
  • Effectively use appropriate IT systems to facilitate the preparation of reports, statistics, presentations and other information for the portfolio.
  • Monitoring and tracking compliance activities

Knowledge, Skills, Qualifications, Experience

·       Attention to detail and accuracy

·       Ability to communicate effectively at all levels of the organisation

·       Excellent stakeholder engagement skills

·       Experience in managing competing priorities

·       Extensive experience as a PA at an Executive Level

·       Flexible integrated approach with the ability to multi-task and work on own initiative

·       Excellent organisational skills (flexible/organised/methodical)

·       Discretion - confidentiality when dealing with sensitive and personal information

·       Excellent communication/interpersonal skills notably with various levels of the organisation and externally

·       Bilingual in French speaking is desirable

·       Previous team support experience
