The Opportunity
We are excited to offer a great opportunity for a Legal and Company Secretarial Assistant. In this role, you'll face the unique challenge of supporting a large, dynamic team working both in-person and remotely. Success in this position will require strong organizational and prioritization skills to effectively balance the administrative needs of the legal team with company secretarial duties.
There is a large portfolio of legal entities at EDF Renewables, all requiring the management of day-to-day company secretarial and Board activities. The Legal and Company Secretarial Assistant will work closely with the Company Secretarial Assistant and the rest of the Corporate Governance team to deliver this work.
On the Team Admin side, the Legal and Company Secretarial Assistant will assist the legal team with general administrative tasks, working closely with the PA to the Legal Affairs Director to support the team and to help to foster a culture of cohesiveness.
The legal entities which this role supports are located in the UK and Ireland.

What you’ll be doing
• You’ll support the maintenance of company records for EDF Renewables companies including maintenance of Blueprint software, Statutory Registers and Companies House records and the timely submission of statutory and ad hoc forms and returns for companies in UK and Ireland (e.g. Confirmation Statements).
• Coordinate designated board meetings and board approvals and attend to take minutes.
• To help manage and to complete tasks within prescribed board timelines (calling for papers, collating papers and sending out actions and minutes within a certain timeframe)
• Support the preparation and coordination of Director appointments and resignations, ensuring that all internal governance approvals are satisfied.
• Prepare resolutions and documentation for routine transactions (such as share transfers, director changes and dividends) and ad hoc events (e.g. incorporations)
• Support the Company Secretary by providing day to day management of company strike offs, liaising with other departments as required.
• Provide support to the Legal team on day-to-day administrative activities including purchase orders and payments, couriering and securing signatures documents, ad hoc projects and governance and internal control initiatives.
• Assist the team with arranging face-to-face meetings, work with the PA to Legal Director to arrange in-person legal team meetings and other office events, and ad hoc assistance such as cover for reception.
• Support the team with the production, presentation and amendment of documents and presentations, ensuring the house style/templates are used.
• Be responsible for making arrangements for new starters (IT, inductions).
• Booking travel and accommodation, arranging meetings and booking meeting rooms.
• Assisting the team with office admin such as printing, scanning and binding.
• Prepare and issue of weekly team reports and facilitate of weekly director signing arrangements.
• Filing and archiving of electronic and physical documents.
What do you need to be great at this role?
• You’ll have previous experience of company secretarial work including maintenance of digital registers and Companies House Filings .
• Experience in setting up and supporting board meetings including taking minutes for statutory boards.
• Basic knowledge of company secretarial practice and the Companies Act 2006.
• Experience of digital board pack software preferred.
• Hands-on experience of using CoSec databases and conducting searches and filing documents with Companies House is preferable.
• Must have previous experience of providing high-quality administration or PA support, ideally in a legal practice or another business with a fast-paced culture.
• Highly organised and proactive, with a focus on accuracy, timeliness and attention to detail.
• Strong stakeholder management skills with experience of managing multiple senior stakeholder expectations in demanding environments.
• Able to establish credibility and communicate at all levels (including board level) and build effective long term business relationships.
• A self-starter and committed team player, capable of working on his/her own initiative with ability to prioritise multiple projects to deadlines.
• Adaptable to new situations/tasks and quickly learns new information.
• Committed to continuous improvement and development of skills and knowledge.
• Acts with integrity and discretion, maintaining confidentiality at all times.
Location: Based from our Atria One office in Edinburgh or Cardinal Place office in London. We're proud to offer a Flexible First approach to work meaning you can work comfortably from home with our offices as your base location.
